Notice Writing

What is a Notice?

A notice is a short and formal piece of writing used to inform or announce important information to a specific group of people. It gives clear and brief details about an event, activity, meeting, competition, or any important announcement.

Parts of a Notice

1. Name of the Issuing Authority

This is the name of the school, organisation, department, or institution that is issuing the notice.

Example:
Delhi Traffic Police
ABC Public School
Green Valley School

2. The Word “NOTICE”

Write the word NOTICE in capital letters at the centre of the page. It tells the reader that the information is an official announcement.

3. Date

Write the date on which the notice is issued.

Example:
24 January 2027

4. Heading (Title)

The heading tells the reader what the notice is about in a few words.

Examples:
Traffic Advisory
Parent-Teacher Meeting
Cultural Fest
Blood Donation Camp

5. Body of the Notice

The body contains the main information. It should answer the following questions:

What is the event or announcement?
When will it take place?
Where will it be held?
Who can participate or attend?
How should people respond or what should they do?

The information should be brief, clear, and to the point.

6. Name and Designation of the Writer

Write the name of the person issuing the notice along with his/her designation.

Amarjeet Singh
Special Commissioner of Police
Traffic Management Division, Delhi

Rules for Writing a Notice

1. Use Instructive Language

Use words like must, should, will, are requested, are advised because a notice gives instructions or information.

Example:
Students must report by 8:30 a.m.

2. Write in the Present Tense

A notice is usually written in the present tense.

Example:
Students are requested to attend the meeting.

3. Use Formal Language

Use polite and official language. Do not use informal words or personal opinions.

Correct:
All students are requested to attend.

Incorrect:
I want you all to come.

4. Avoid the First Person

Do not use words like I, we, me, us, my, our.

Correct:
Students are requested to participate.

Incorrect:
We request you to participate.

5. Avoid Using the “-ing” Form of Verbs

Write short and direct sentences instead of using continuous verb forms.

Correct:
The competition will begin at 10:00 a.m.

Incorrect:
The competition will be starting at 10:00 a.m.

Do not exceed 50–60 words (unless otherwise instructed).

Avoid unnecessary details.

Remember:
A good notice is short, clear, informative, and properly formatted.
